Profitability per project

Budget against actual cost, updated as work happens.

Time tracking people will use

Fast enough that it gets filled in, not reconstructed on Friday.

Billing from actual work

Invoices built from logged time and expenses, not memory.

Who is working on what

Team load visible before you promise another deadline.

Definition

What does project management software do?

Project management software organises work into projects and tasks with owners, deadlines and dependencies, so progress is visible without a status meeting. For businesses that sell their time — agencies, contractors, consultancies — the more valuable half is cost tracking: recording hours and expenses against each project and comparing them to the budget quoted. Task-only tools show whether work is on schedule but not whether it is profitable, and a project can be delivered on time and still lose money.

What you get

Tasks and cost in the same system

Most teams discover a project was unprofitable at the invoice stage. By then the only remaining decision is whether to argue with the client.

01
Budget against actual cost
Quoted budget compared to logged time, staff cost and expenses as the project runs, with alerts when a project crosses a threshold — while there is still scope to renegotiate or change approach.
02
Time tracking that gets used
Logging time takes seconds on a phone or desktop, with a weekly view for correcting gaps. Anything slower gets filled in from memory and the data becomes worthless.
03
Tasks, milestones and dependencies
Assignment, deadlines and what is blocking what, with a board or list view depending on how each team prefers to work.
04
Invoicing from real work
Invoices generated from logged time, expenses and milestones, so billing reflects what was actually done rather than what someone remembers.
05
Team capacity view
Who is committed to what over the coming weeks, so a new deadline is agreed against real availability instead of optimism.

How we work

From scattered task lists to a system that shows cost

We start with how you quote and bill, because that determines what has to be tracked.

  1. 01

    Understand how you price work

Fixed fee, time and materials, retainer or milestone. This decides what must be tracked and at what granularity.

  2. 02

    Design for minimum entry

Time logging has to take seconds. We cut every field that does not affect a decision, because unused tracking produces confident, wrong numbers.

  3. 03

    Build and connect

Projects, tasks, time, expenses and invoicing configured, connected to your accounting system so billing does not need re-entry.

  4. 04

    Pilot on live projects

Two or three real projects run through the system, including a full billing cycle, before wider rollout.

  5. 05

    Roll out and review

Team-wide launch with training, then a review of whether the cost data is actually being used to make decisions.

FAQ

Questions, answered

01Why not just use Trello, Asana or ClickUp?

For task coordination alone they are excellent and we would recommend them. The case for a custom system is cost and billing: tracking hours and expenses against a quoted budget, and generating invoices from that, is where generic tools are weakest or expensive to extend.

02Will the team actually log their time?

Only if it is fast and they see something back from it. We design entry to take seconds and give each person their own view. If time is being reconstructed on Friday afternoon, the data is fiction and we would rather fix the workflow than report it.

03How much does it cost in Bangladesh?

It depends on team size and whether billing and accounting integration are included. We quote after understanding how you price and invoice work.

04How long does it take to build?

Six to ten weeks for a first version covering projects, tasks, time and basic billing.

05Can it connect to our accounting software?

Yes, so invoices raised here post into your accounts without re-entry. We confirm your specific package during discovery.

06Does it work on mobile?

Yes, particularly time logging and task updates, which is what matters for staff working on site rather than at a desk.

07Can clients see their project?

Optionally, through a client view showing progress and approved milestones without exposing your internal cost data.

A short call about what each one actually cost to deliver — most businesses cannot answer that, and that is the problem worth fixing.
